From working with hospitals around the country, we’ve come up with a set of six best practices for implementing a successful vendor management program. Follow these guidelines to help ensure your program will succeed in delivering the highest level of compliance, patient safety, and staff awareness.

1. Strategically place check-in locations to capture vendor activity.

  • Determine how vendor rep traffic should flow throughout the facility.

  • Consider whether reps should check in through one location or if multiple checkpoints should be set up.

  • Define a plan for after-hours check-ins.

2. Know where vendor reps are going within your facility.

  • Utilize a system check-in dashboard to monitor who is checked in and create a visible dashboard for staff in each department.

  • Train staff to look for vendor badges and scan them for accuracy and compliance

  • Encourage staff to identify vendor reps that are outside of locations identified by their badges and to report these instances

  • Utilize a vendor appointment scheduling system to enhance reps’ access to physicians and prevent unexpected drop-in visits.

3. Define a clear plan for how and when to escalate vendor rep overrides. 

  • Determine when an override should be provided.

  • Identify who has the privileges to provide the override.

4. Encourage staff training and awareness.

  • Set expectations upfront for staff to uphold your facility’s vendor policies.

  • Include vendor check-in reports in monthly departmental meetings.

  • Make sure ongoing education is provided to new staff.

5. Set up accurate department lists within the system.

  • Include only the departments that vendor reps are allowed to access.

  • Provide updates to department lists as needed.

6. Create an internal policy that holds vendor reps accountable. 

  • Consistently enforce your vendor policy.

  • Review your facility’s vendor policy annually to ensure it is up to date.
